Party Suites – or Hospitality Rooms – are an important part of any convention. They offer a place to relax, socialize, and get to know other presenters and guests on a more personal and unstructured way. They can be an oasis of calm to have a cup of tea and a snack before diving back into the con, or they can offer a raging party and lots of excitement.
Quirky themes, amazing decorations, and wonderful people give them each their own unique character. They are also a great way to spread the vibe and values of your organization to hundreds of people over the course of the weekend.
Other things to know:
– Party Suites must be open to convention attendees for a minimum of 15 hours throughout the weekend and must have some open hours on Friday, Saturday, and Sunday.
– Party Suites are only for registered attendees and can only be hosted by someone with a paid registration.
– You may put out a “tip jar” so people can donate to support your suite, but you can NOT charge a fixed fee for entrance to your suite or any of the items therein.
– You may wish to provide refreshments and are welcome to do so within the policies outlined in our Party Room Guidelines (see below). If you choose to serve alcohol, you must have a bartender checking ID; in other words, alcohol can NOT be available for self-serve.
– You are liable for damages to the room including walls and carpet. If you choose to serve a food or drink that could potentially stain, we recommend covering the floor.
The Party Suites are in the Garden Court adjacent to the pool and community area. There are three types of rooms – a standard king bed room with porch, a standard double bed room with porch, and a parlor suite with a bar + living area (with couch and chairs) and pull-down Murphy bed for sleeping and double sized porch. The Parlor Suites are twice the size of the standard rooms.
The standard rooms (both king and double beds) will be $600 and the parlor suites are $1,000. This is a significant increase from the party suite rates in the past, but keep in mind that someone can use the room as a sleeping room, and if you deduct the cost of a hotel room, the prices are quite reasonable. If you would like the beds removed, there is an additional $300 fee to remove one of the beds (smaller suites only – the parlor suites only have the Murphy bed which folds up into the wall and cannot be removed). There is an option for bed removal that you can choose in the application. This is only to remove ONE bed, so if you want a bed-free room, you should choose the king room.
All the rooms will be available from Thursday afternoon to Monday morning. There are 8 rooms on the 2nd floor (2 parlor, 2 king, 4 double) and 5 rooms on the 1st floor (2 parlor, 2 king, 1 double). If you have a preference for a specific floor, or you want to be next to another group, please note it in “special requests”. These requests are not guaranteed, but we will do our best to fulfill them.
